Studio Policy

Remember that, while taken seriously, music lessons are meant to be enjoyable as well as educational. If you have any questions or concerns regarding this policy or your child(ren)’s lessons, please do not hesitate to contact us.

REGULAR LESSONS

Students may enroll for lessons at any time, and, after the end of the trial period, are expected to remain enrolled for the entire academic year unless early withdrawal is agreed upon by both teacher and parent. Lessons will take place either in the teacher's studio, online, or in-home.

If a student is late

FREE LESSON & TRIAL PERIOD

We offer one free lesson during our trial lesson period, for which students may choose to have a 2-week or 4-week period. During the trial lessons period, students can try on different lessons packages and bundles comprising of piano, music theory, songwriting & composition, and music production & technology lessons to see what fit them best.

PRACTICING

Learning music requires time, dedication, and determination. Regular practicing is essential for the growth of music learning. The teacher communicates with the students what to practice throughout the week, the steps, and the expected duration of practice to ensure students develop their skills while taking lessons.

For younger students, having parents’ support is crucial to develop practicing habits in order to hone the students’ musical aptitude and skills. Therefore, parents are expected to support this learning process by providing an encouraging, safe, and comfortable environment for the kids to practice with the instrument(s) necessary for their learning. Parents should work together with the teacher by communicating the students’ learning progress at home and consult with the teacher should difficulties arise.

TUITION

Tuition reserves the student's weekly time slot in the teacher's schedule throughout the year and is required regardless of attendance. Students are E-Billed for lessons, and payment is due in advance. Cash is accepted.

REGISTRATION & DEPOSIT

All applicants must complete the registration form. During the registration process, you will be asked to agree to our school policies and to have the trial lessons' payment. You will receive an email from us confirming the days and times for trial lessons based on your availability, as well as payment information. Trial lessons payment is due in advance prior to the first lesson.

Once the trial lessons period ends, an annual registration fee of $49 per student is required along with the first instalment of the plan selected. Should the student like to add the flexible scheduling option, such payment is also due along with the first month's bill.

RESCHEDULING

All requests for rescheduling lessons need to be communicated directly to the teacher. If a student requests to reschedule a lesson more than 48 hours in advance of the originally-scheduled lesson time, efforts will be made to accommodate the request.

With less than 48 hours of advance notice, students have the option to receive an online session in place of the in-person session. We mark students as absent if they cannot attend the online lesson either. We do not offer refunds or credits for lessons missed or cancelled under such circumstances.

Once a make up lesson has been scheduled, it cannot be rescheduled. Missed makeup classes are forfeited regardless of any notice given. No refunds or credits for lessons missed under such circumstances.

Two rescheduled lessons with 48-hours advance notice are allowed upon student’s request per 12-month period from the student's start date. Students will be notified on the amount of make-up lessons they are entitled to when they enroll. All make-up lessons have to be completed by the end of the 12-month period.

FLEXIBLE RESCHEDULING ADD-ON

We understand that things happen. As a result, we offer a $25 fee for students to have the flexible rescheduling, where students can reschedule two (2) more lessons up to one hour before the originally-scheduled lesson time. This add-on can be repurchased if students have used up their quota.

CANCELLATION

Should a student need to cancel a lesson, seven (7) days notice parents or guardians are required for students under 18. Only two lessons per year can be cancelled. If a notice is given less than seven (7) days in advance, the student is obligated to pay for such lesson.

SUSPENDING OR ENDING LESSONS

Students should consult with the teacher if they are considering discontinuing lessons to make sure there are not areas that can be resolved. If the student still decides to discontinue lessons, a written notice is required to be sent at least four weeks before the final lesson day. Students or their parent(s) or guardian(s) (if students are minors) will be asked to fill out a Suspending or Ending Lessons Form. Students will be billed for the following four weeks of lessons even if notice is given less than four weeks in advance, whether those lessons are attended or not. All outstanding make-up lessons must be used within four weeks or be forfeited.

RESPONSIBILITIES

It is important to understand that in order to make learning music enjoyable, there has to be good teamwork between the teacher, the students, and their parents. Therefore, students are expected to practice regularly according to their teachers’ assignments. This results in parents/other guardians support in order to ensure that students set aside some time to practice regularly. Without support from their parents/guardians to develop good practice habits, a student is not going to achieve satisfactory progress which will not benefit both the students and the teacher.

Parents/guardians need to ensure that students are ready to start lessons on time as well as providing a good practice space and a well-maintained instrument for their kids. Tuition and other fees are to be paid responsibly. Furthermore, students are expected to bring all materials needed for the lessons, be prepared for performances at recitals, productions, and outside activities, practice and complete their assigned homework.

Having short nails and clean hands are necessary for every lesson, and we ask for parents to reschedule lessons should there be any sickness.

SNOW DAYS

If extreme weather makes it unsafe to hold in-person lessons (as determined by Keylodia), students will be contacted in writing via email, text, or WhatsApp. Any missed classes will be rescheduled or taught online. Since snow days are an act of nature beyond our control, credits cannot be provided.

DROP OFF & PICK UP

For everyone’s safety, Keylodia staff are only responsible for students during their scheduled lesson times. Please ensure children are dropped off and picked up promptly by a parent or caregiver.

CODE OF CONDUCT

The Keylodia Code of Conduct outlines the expectations for behaviour from everyone in our community, including staff, students, staff, guardians (if applicable). Students are expected to act with respect towards themselves and others at all times, in accordance with this Code of Conduct.

Teachers will share expectations clearly and hold high standards for every student, while always encouraging and supporting each person’s growth.

Lessons will start and end at the agreed time, with both teacher and student ready to make the most of our time together. Phones and other devices should be silenced during lessons so they don’t interrupt. They may only be used if the teacher asks, for example, as part of an exercise.

Lessons are to be provided in a clean, dedicated teaching space with appropriate instruments, books, materials, and other equipment needed to support the teaching and learning.

We use polite and appropriate language that makes everyone feel comfortable and respected. Conversations should stay focused on piano and music learning.

Clothing should be neat, clean, and modest. We want to keep the learning space welcoming for everyone. Teachers will respect each student’s unique abilities, experiences, and background, and will never discriminate based on gender identity, ethnicity, disability, sexual orientation, age, cultural background, religion, or political beliefs.

Your privacy is important. Teachers will keep personal information confidential, and all communication will be professional and through appropriate channels. There should never be communication about sexual topics, nudity, profanity, or hate speech.

Physical contact between teacher and student will only happen if needed for piano instruction—for example, adjusting an arm or hand to help with technique. In these cases, the teacher will explain what they’re doing and ask for permission first. Students can always say no to physical contact. If behaviour or clothing is sexualized, abusive, or offensive, lessons will stop immediately.

FOR STUDENTS UNDER 18

Teachers will communicate directly with a student’s parent or legal guardian, not through the student or social media. Teachers need to know about any health concerns or allergies, and will keep emergency contact information on file. Parents are welcome to observe lessons at anytime.

ONLINE LESSONS

Both teacher and student should have a neat, tidy background and avoid distractions during the lesson.

ADDRESSING BEHAVIOUR CONCERNS

Our faculty consists of professional musicians passionate about sharing their expertise with Keylodia students. While our goal is to foster a positive, inspiring learning environment, disciplinary action may be necessary to ensure the safety and education of all students. In such cases, our faculty will exercise the utmost care and professionalism in addressing individuals and situations. Bullying, harassment, or any inappropriate behaviour will not be tolerated.

If action is required by the course instructor, the following Warning System will apply:

1st Warning – The student will receive a verbal warning regarding the specific behaviour.

2nd Warning – The student will receive a second warning, and if the student is a minor, a parent or guardian will be contacted to discuss the behaviour and be informed that further issues may result in dismissal.

3rd Warning – If the behaviour continues, the student will be dismissed from lessons, classes, or camps and sent home immediately at their own expense should the lesson occurs at the teacher's studio. If transportation or adult supervision is required, a parent will be called to pick up the student immediately. If this situation occurs during an in-home or online lesson, the session will end immediately and the teacher will leave the learning environment.

The student will not be able to return for the remainder of the program. All program fees will be forfeited.

CARE FOR INSTRUMENTS & EQUIPMENT

At Keylodia, we want everyone to enjoy learning and making music in a positive and well-equipped environment. To help make that possible, we ask all students to treat our instruments and equipment—such as piano, keyboards, microphones, and computers—with care and respect. If an item is damaged due to mishandling and/or negligence by the student during a lesson, we kindly ask that the student’s family (if the student is a minor), or the adult student, to take responsibility for the cost of repair or replacement. By working together to care for our shared resources, we can ensure a great musical experience for everyone.

DEPOSIT FOR MUSIC PRODUCTION & TECHNOLOGY

If a student registers for a package or bundle that includes music production and technology, a $49 deposit is required in addition to the registration fee and is due alongside the registration fee after the trial period ends. This deposit is held as a safeguard and may be used toward the cost of repair or replacement in the event of mishandling or negligence by the student during lessons. At the end of the 12-month period, any remaining balance from the deposit will be refunded.
